Making Contracts Clear

Set contract type, invoice issuer, and who may record time in the right context.

Contracts & projects Finance & billing

Not every contract is structured in the same way. Some collaborations have a fixed time allowance for the entire term. Others are billed against a monthly allowance. Others again are billed on demand for work actually delivered. When those differences live only in people's heads or individual documents, it quickly becomes unclear how work should be recorded and later invoiced.

As a team grows, a second question appears: who may record time against this contract? Not every person works on every assignment. Each contract has exactly one person assigned as the invoice issuer, even when several participants work on it together.

Contract type sets the frame

The improvement made different contract types visible directly on the contract. A contract can have a fixed allowance for its full term, a monthly allowance, or be billed on demand. The billing frame is no longer an assumption; it is part of the work context.

This helps even while recording a single activity. People know the frame in which work will later be considered. Those preparing an invoice do not have to derive from a document whether agreed time applies to the whole contract or a month.

Assigning the invoice issuer clearly

The contract also records exactly one person as the invoice issuer. This clear assignment prevents the question from appearing only at the end, when an invoice needs preparation.

The invoice issuer is not a later note but part of the contract's foundation. Participants can see who is responsible for the invoice and what that responsibility relates to.

Recording time only where it belongs

It is also possible to define which team members can record time against a contract. This is not distrust of the team. It makes visible who works on the assignment and protects against time accidentally being assigned to the wrong contract.

For team members, selection becomes simpler: they see contracts on which they can actually work. For those responsible, it remains traceable who is involved in delivery. Later billing has a foundation that does not need sorting afterwards.

Teamwork needs a clear frame

A contract becomes more than an agreement in an archive. It sets the frame for allowance, billing, and participation. The improvement does not create more administration; it makes visible the few decisions that would otherwise need to be clarified again with every time entry or invoice.
